How it works

  1. Setup — The organization's email inbox is connected (IMAP/SMTP), the AI engine and company-specific reply instructions are defined. Optionally, the pricing database is configured.
  2. Automatic monitoring — ReplyPilot continuously checks incoming emails and triggers AI analysis for each new message.
  3. Draft generation — The AI analyzes the email content, queries the database if pricing information is needed, and generates a recommended reply tailored to the context.
  4. Operator validation — The draft reply is presented to the operator for review. They can approve, modify, or reject it — final control always belongs to the human.
  5. Send & log — The approved reply is sent, and the entire interaction is recorded for audit and traceability.
